Day Of Coordinator is more than 24hrs of work.  A day-of coordinator needs 6-8 weeks to get the day of your event into a comprehensive and logistic timeline that keeps you running smoothly. 

Day-of Coordination doesn’t come close to what you need in terms of expertise to get you through the final stages of planning and being able to implement your event vision without sweating the details and logistics.  You'll work with one of our trained associate coordinators in the last 3-6 months prior to your event to implement your event smoothly and effectively. You will have the opportunity to build the relationship you'll need with the coordinator that will allow you to gain the trust needed to release the reins of the logistics management!

It is best to have your event week/weekend/day-of timeline prepared before your other vendors start reaching out with all their questions and go into the final phase of your planning in control of the details.

Base Inclusions:

  • Timeline Planning: we will review all of the last-minute details and logistics of the event with a walk-thru at your event venue to discuss floor plan, flow, etc if needed with the caterer, venue contact, décor team and complete the comprehensive Smile Often Events event detailed checklist.

  • Logistics: we will create a complete production and event timeline for the event, create vendor contact sheets and distribute it to all of your vendors.

  • Final Touch Meeting: In the 1-2 weeks before your event, we will go over all the details one last time with you, hand off your particular items, and sit back and relax as the big day approaches.

  • Wedding Party: We will create a detailed timeline for the wedding party – distribute and review at rehearsal or to a provided email list the week of the wedding.

  • Coordinate Vendors and Staffing: We will work with all relevant parties and assist with labor and all details for décor the day of the event to assure proper and timely execution

  • Confirmations: Our staff will advise you on gratuities and confirm all event details the week of the event including set up and strike times, vendor meals, rider inclusions and details that will make the event run smoothly.

  • Rehearsal: We can direct and/or assist with rehearsal the day prior to the wedding, make announcements, distribute wedding party timelines.

  • Production: Approximately 9 hours on the day of the event to supervise deliveries, set up, implementation & strike.

  • Manage the Event: Direct vendors, attend guest needs and inquiries, trouble-shoot challenging situations, etc.

  • Late Night: Return Bridal Checklist Items to Bridal Suite prior to the end of service – or pack in the car of a pre-designated friend or family member.

  • Event Emergency Kit: It’s Huge and you want it. Ask us what the weirdest thing in there is and you’ll be surprised!

  • Staff to include your Smile Often Events Pro + 1 highly trained assistant.
